BP Optimize Agent
Analyses completed Workday business process execution data, identifies performance trends, anomalies, bottlenecks and root causes, compares performance against eligible peer benchmarks, and dynamically generates tailored optimisation recommendations and step-by-step guidance for administrators. It is not documented as modifying the business process configuration it analyses.
Recorded characteristics
- Function
- Workday documents the BP Optimize Agent as an AI-powered assistant that helps administrators improve the efficiency, effectiveness and overall performance of business processes within Workday. It provides the Process Improvement skill, which analyses business process data, visualises metrics (time to completion, send backs, average/maximum/minimum/p50/p95), compares performance with peer benchmark data, surfaces Benchmarking Insights, observes anomalous trends, identifies anomalies and root causes with percentage step-level contribution, and dynamically generates tailored optimisation recommendations in real time (up to one minute) with Learn More reference links. Administrators can also ask natural-language questions through the Workday agent chat bubble.
- Data access
- Workday states the agent uses the execution details of configured business processes and their corresponding steps to analyse execution times and identify anomalous patterns, tenant-specific execution data to generate aggregated averages for benchmarking, and proprietary system data to determine benchmark groups and data. It excludes data from EIBs, web services, integration loads and transactions that immediately completed (duration = 0), and considers only actual business process transactions that occur within the Workday application. It considers only completed events with a status of Successfully Completed, Rescinded, Canceled or Process Terminated, excludes in-progress events, and excludes any step configured after the Completion step. Business process event data is evaluated using a rolling 18-month retention window; insights and recommendations outside that window are automatically excluded. Workday does not document the agent reading transaction payload or business object content.
- Actions
- Generative only
- External actions
- Unknown
- Human confirmation
- Not established
- Permission basis
- Not established
- Administrative control
- Administrators register, configure and activate the agent through the Agent Management Hub in the Agent System of Record. Configuration requires selecting a Lookback Period and Product Lines; the lookback period cannot be changed after submission, while product lines can be changed with the Reconfigure BP Optimize Agent task, taking effect on the first day of the next month. The Process Improvement skill is made available with a status toggle, and an Available To prompt selects security groups (Business Process Administrator domain, or the BP Optimize Agent domain if customised); those groups must also hold permissions to the domains or business process security policies securing the agent. The View Security for Agent Skill report assists configuration. Model business processes are included in the Platform and Product Extensions product line, and a shared business process only requires one associated product line to be selected. When Workday adds a new business process type to an existing product line, or product line associations change, the agent does not automatically apply those changes to an existing configuration. The agent must be registered and activated in production before sandbox use, with up to 24 hours for processing. Deactivation purges tenanted data, ASOR agent configurations and recommendations after 21 days; reactivation within 21 days restores settings, after 21 days requires a new setup. An optional ML Data Contribution feature labelled BP Optimize Agent, enabled by default for UMSA customers and manually opt-out, grants Workday access to agent traces generated from user prompts within the Workday agent chat.
- Default state
- Disabled
- Availability
- Workday states tenant eligibility requires the tenant to be in the US, EU or limited UK-based regions and to average fewer than 2 million transactions per month. The agent is not available to customers with UK-based tenants subject to strict data processing requirements preventing Workday from processing customer data outside the UK. It can be used in production and sandbox tenants, with production activation required first. Language support is currently limited to English; if a user language is set to French, for example, the agent defaults to English. After activation, data ingestion can take up to 48 hours, and subsequent ingestion occurs automatically on the first day of each month.
- Licensing
- Workday states that for UMSA organisations the feature is automatically available subject to setup, and that MSA organisations must opt in to UMSA and enable the feature through Innovation Services. UMSA is required for non-production and production tenants for Workday-Built agents. Workday states that use of agents impacts Flex Credits, that activation and ongoing monthly ingestion consume Flex Credits, that reconfiguring the agent as a new setup after a purge consumes Flex Credits, and that a Flex Credit Estimator displays estimated initial and recurring consumption. Sandbox configuration displays estimates but is not charged. No pricing is documented here.
- External model or provider
- Not established
- Limitations and uncertainty
- Workday does not identify the model or provider used by the BP Optimize Agent; it states only that the agent language model uses the Workday Administrator Guide, Workday Community and other expert Workday knowledge sources. Workday does not document the agent modifying business process definitions, steps, approval chains, routing, security or configuration; the documented chain is analysis, recommendation, administrator review, administrator implementation, with the explicit instruction to always review and verify AI-generated insights and recommendations before making configuration changes. Runtime data-access identity is not established for this agent specifically: the documented Modify permissions on the Business Process Administration or BP Optimize Agent domains, and the Available To security groups, govern which users may use the agent rather than the agent runtime identity, and Workday does not state that this agent uses the By User or On Behalf Of User execution modes of the general agent security framework. Whether BP Optimize Agent activity appears in the AI agent user audit trail is not established. PII is documented as displayed only for Created By and Last Modified By users in the dashboard and the Overview section of the Trends and Anomalies page; this describes display, not the full scope of data processed. Benchmark data is only generated when a minimum number of customers meet defined criteria, and Workday states individual company benchmarking data cannot be identified by other customers. Trend insights are limited to events initiated and completed within the selected period, and the Trends section shows recommendations only when performance trends slower. No external execution is documented, but Workday does not affirmatively state that no external action occurs.
Evidence
- Concept: BP Optimize Agent
Supports: Function · Data access · External actions · Permission basis · Admin controls · Limitations · Primary source
AI-powered assistant that helps improve efficiency, effectiveness and overall performance of business processes within Workday; analyses processes, identifies areas for improvement, provides actionable recommendations with step-by-step guidance, and provides the Process Improvement skill for insights, bottlenecks, root causes and benchmark comparison across industries, regions and company sizes.
Uses execution details of configured business processes and their steps, tenant-specific execution data for aggregated benchmarking averages, and proprietary system data to determine benchmark groups. Excludes EIBs, web services, integration loads and duration-zero transactions; considers only business process transactions occurring within the Workday application, only completed events with status Successfully Completed, Rescinded, Canceled or Process Terminated, and a rolling 18-month retention window. PII is displayed only for Created By and Last Modified By users on the dashboard and the Overview section of Trends and Anomalies. Individual company benchmarking data cannot be identified by other Workday customers.
The agent considers only business process transactions occurring within the Workday application; no external system execution is documented, and Workday does not affirmatively state that none occurs.
Users must have Modify permissions on the Business Process Administration or BP Optimize Agent security domains in the System functional area.
Deactivation purges tenanted data, agent configurations and recommendations after 21 days; reactivation within 21 days restores settings, and after 21 days requires a new setup consuming Flex Credits.
Benchmarking insights generate only when the minimum required industry peer cohort has enough transactions for that business process in the same time period.
- Concept: BP Optimize Process Improvement Skill
Supports: Function · Data access · Actions · External model · Limitations · Primary source
Skill analyses business process data, visualises metrics, compares with benchmark data, reviews benchmarking insights, observes anomalous trends, identifies anomalies and root causes, generates optimisation recommendations and answers questions. Trends compare the selected period with the preceding period and calculate each step percentage contribution, with recommendations shown only when performance trends slower; Anomalies list top root causes and contributing steps by duration, send backs or reassignment.
Metrics include time to completion and send backs with average, maximum, minimum, p50 and p95 values for tenant and benchmark, exportable as PDF, PNG, CSV and Excel. Benchmark data averages execution data across customers sharing industry, region and enterprise size, with the benchmark group determined from tenant details in Workday records.
Recommendations are dynamically generated in real time rather than from pre-computed data, taking up to one minute, formulating actionable advice with Learn More links. Implement Optimization Recommendations documents that the administrator reviews, determines fit and implements the change; the agent is not documented as changing the business process.
Workday states the agent language model uses the Workday Administrator Guide, Workday Community and other expert Workday knowledge sources, but does not identify the model or provider.
Trend insights include only events initiated and completed within the selected period; benchmarking insights evaluate only the selected quarter and require a sufficient peer cohort.

- Set Up BP Optimize Agent
Supports: Data access · Actions · Human confirmation · Permission basis · Admin controls · Default state · Availability · Licensing · Primary source
Excludes any step configured after the Completion step, considering a business process complete even when the workflow progresses beyond it. An optional ML Data Contribution feature labelled BP Optimize Agent grants Workday access to agent traces generated from user prompts within Workday agent chat, enabled by default for UMSA customers with manual opt-out.
Workday instructs administrators to always review and verify the accuracy of AI-generated insights and recommendations before making configuration changes to business processes.
No operational action is executed by the agent; administrators implement configuration changes themselves after review, so an agent-action confirmation step is not established.
Setup requires the Reports: AI Agent Security, Business Process Administrator and BP Optimize Agent domains; the BP Optimize Agent domain inherits security from Business Process Administrator and inheritance can be overridden. Available To security groups on the Process Improvement skill row must also hold permissions to the domains or business process security policies securing the agent, with View Security for Agent Skill available to assist.
Register, configure and activate the agent using the Agent Management Hub, selecting Lookback Period and Product Lines and enabling the Process Improvement skill via a status toggle. Product lines can be updated with the Reconfigure BP Optimize Agent task effective the first day of the next month, while the lookback period cannot be changed after initial activation. Model business processes sit in the Platform and Product Extensions product line, shared business processes need only one associated product line, and new business process types or changed product line associations are not automatically applied to an existing configuration.
The agent must be registered, configured and activated, and the Process Improvement skill made available, before workers can use it; availability under UMSA does not activate it.
Eligibility requires a tenant in the US, EU or limited UK-based regions generating 2 million or fewer transactions per month, excluding UK tenants subject to strict data processing requirements. Production activation is required before sandbox use with up to 24 hours processing, data ingestion can take up to 48 hours and then recurs monthly, and language support is currently limited to English with other languages defaulting to English.
For UMSA organisations the feature is automatically available; MSA organisations must opt in to UMSA and enable it through Innovation Services, and UMSA is required for non-production and production tenants for Workday-Built agents. Activation and ongoing monthly ingestion consume Flex Credits, reconfiguration as a new setup after purge consumes Flex Credits, and Workday recommends adjusting product line scope rather than deactivating.
- Concept: Agent Security
Supports: Permission basis · Primary source
Workday general agent security framework documents delegate mode acting on behalf of a user and unique agent identities, but does not state which execution mode applies to BP Optimize Agent.
- Set Up Agent System of Record
Supports: Admin controls · Primary source
Agent System of Record must be set up per tenant by enabling the functional area and configuring domain security policies before agents are managed.
- Concept: BP Optimize Agent Flex Credit Estimator
Supports: Licensing · Limitations · Primary source
A Flex Credit Estimator displays estimated initial, recurring and monthly difference consumption calculated from a 12-month average of tenant event volumes; sandbox configuration is not charged.
Flex Credit estimates are for budgeting purposes only and actual usage might differ; Workday is not responsible for their accuracy.
