Workday · HiredScore AI for Recruiting

Recruiting Agent

Workday's Recruiting Agent, delivered through HiredScore AI for Recruiting, grades and prioritises applicants against job requirements, rediscovers past applicants and surfaces internal and partner-network leads, and delivers explainable recommendations and prompted next steps to recruiters and hiring managers in Workday and Microsoft Teams. Most recruiting transactions are performed by people; documented automation recipes can automatically advance top-rated applicants to hiring-manager review and send rule-based emails to leads, recruiters and hiring managers. Workday documents the hiring decision as remaining with recruiters and hiring managers.

Recorded characteristics

Function
Workday describes Recruiting Agent as the agent in HiredScore AI for Recruiting that provides accelerated candidate prioritisation, streamlined talent discovery, guidance to high-value tasks, frictionless process adherence, integration with Workday Recruiting, and improved recruiter and manager collaboration. Documented mechanisms include Spotlight candidate grading (grades A to D based on how a parsed resume matches basic and preferred job requirements), Fit & Gap explainability, Smart Candidate Profiles, Fetch / Dynamic Fetch / Internal Fetch / Reverse Fetch / Embedded Fetch candidate rediscovery and sourcing, Global Talent Search, recruiter and hiring-manager dashboards, and Microsoft Teams hiring-manager guidance. Workday's Talent Acquisition Agent page scopes Recruiting Agent itself to "source and screen best-fit candidates faster, surfacing the strongest talent inside the guardrails recruiters set".
Data access
Documented scope covers Workday Recruiting data synchronised to HiredScore: job requisitions and requisition attributes, job applications and application business-process statuses, candidate profiles and parsed resumes, skills mapped to Workday Skills Cloud, application questionnaire responses (insights such as visa sponsorship, veteran status, salary expectation), prospects/CRM leads, past applicants from a configurable look-back period (default up to 3 years), internal worker HCM profiles for Internal Fetch, and, where separately contracted, Randstad talent-network leads. Data flow, supported countries, retention policy and candidate AI-consent mapping are configured in HiredScore Tenant Setup. Tenant-wide access to unrelated Workday data is not documented.

Administrative control
Documented controls include the separate HiredScore AI for Recruiting (AIRC) SKU; Workday domain security policies (Set Up: HiredScore Tenant Setup, ...-Recruiting, ...-Talent Optimization) that must be enabled, permissioned and activated; the HiredScore Tenant Setup report covering SSO, supported countries and requisition statuses, enabling or disabling Grading (Spotlight), role mapping for recruiter and manager roles, job-application business-process export and excluded recruiting-stage transitions, data mapping and AI-consent mapping, data-retention policies, user management, the Workday integration user and RaaS definition, the Microsoft Teams integration and HMTAC activation with soft-launch test groups, Fetch triggers and filters (requisition approved/open/posted, distance, last-apply age, excluded reject statuses and stages), Reverse Fetch, Talent Network Fetch (Randstad), configurable UI columns, filters, insights and available singular/mass candidate actions, and Spotlight Grades Integration.

Availability
Workday states availability in over 150 countries and AI-driven support for job application business processes in 70 languages, with the HiredScore recruiter interface translated into 8 languages. Workday lists Recruiting Agent as General Access among the specialised agents run by Talent Acquisition Agent.
Licensing
Requires the HiredScore AI for Recruiting (AIRC) SKU alongside Workday Recruiting; Embedded Internal Fetch additionally requires HiredScore AI for Talent Mobility (AITM) with Talent Optimization. Talent Network Fetch requires a signed Randstad agreement and enablement by Workday Professional Services. Users require an active HiredScore license and association with the requisition (administrative licenses excepted).
External model or provider
Not established for Recruiting Agent. Workday documents that the Spotlight Fit & Gap explainability enhancement uses a large language model available to customers who opt in, but names no model or provider; Workday statements about Gemini as a default model for Sana are not applied here.
Limitations and uncertainty
Workday's Talent Acquisition Agent page attributes autonomous panel coordination, interview booking, interviewer prep and automated candidate communication to the Talent Acquisition Agent umbrella, which runs Candidate Experience Agent, Recruiting Agent, Talent Mobility Agent and Contingent Sourcing Agent; those scheduling and conversational behaviours are not attributed to Recruiting Agent specifically and are not claimed here. Interview scheduling appears in HiredScore documentation only as embedded Paradox scheduling and HireVue viewing. No documentation establishes that Recruiting Agent can reject or disqualify an applicant, extend an offer, set compensation, or make a hiring decision; recruiter "Trigger Candidate Movement" advance/reject and other status changes are user actions. Job-description generation is not established in Workday's HiredScore documentation (the Job Descriptions topic is guidance on writing requirements). Candidate Fast Lane, Lead Auto Outreach, Recruiter Smart Alerts and Hiring Manager Digest Emails are documented as automation recipes at feature-description level without a published per-action confirmation model. Vendor claims of unbiased grading, bias auditing and fairness are recorded as vendor-described controls, not independent conclusions. No immutable audit log is documented; Workday documents activity stream, candidate communications report and recruiting history timeline logging for Embedded Fetch actions. The administrator-guide feature reference carries a 2024-10-18 last-updated date.
