Accounting AI

Accounting AI is the QuickBooks Online capability that Intuit documents for accounting and bookkeeping work: grouping high-confidence bank transactions as Ready to post for one-click human posting, automatically matching or posting a documented set of supported transactions (auto-post), helping request missing transaction details and files, AI-assisted reconciliation, and root-cause analysis of potential accounting issues on Balance Sheet and Profit and Loss reports.

Recorded characteristics

Function
Intuit documents Accounting AI as one of the named capabilities in the Intuit AI set inside QuickBooks Online, focused on accounting and bookkeeping work. Documented behaviour, separated by execution pattern: SUGGESTION (no persistent state change): AI-powered suggestions on the bank transactions page propose a category, a match, or a From/To customer or vendor, with Review Signals (green, blue, orange) indicating the strength of the underlying data. Intuit documents these platform suggestions as Intuit AI features available in all versions of QuickBooks, distinct from Accounting AI itself. REVIEW-READY WORK (human executes): Ready to post groups the transactions Accounting AI is most confident can be posted as suggested. A banner appears in the Needs attention widget and on the Bank transactions page; the user reviews, optionally edits, and then posts, individually or as a batch with a single click. Intuit documents a Transaction posting policy that sets the Ready to post criteria (required fields, an amount threshold above which transactions always wait for review, a history effective date, and free-text posting notes), plus a per-transaction Policy reviews log of which checks passed or failed. AUTOMATIC EXECUTION: auto-post. Intuit states that Accounting AI will match direct deposit paychecks and payroll tax payments handled by Intuit QuickBooks Workforce or QuickBooks Desktop Payroll, and will also match transactions to bills paid with QuickBooks Bill Pay, describing this as work done automatically for the user. Results are surfaced in the Needs attention widget, and auto-posted transactions carry RULE and AUTO badges in the Posted tab. REQUESTS FOR MORE INFORMATION: Accounting AI helps request details and files relating to a transaction and, per Intuit, helps automatically verify that the right receipts are uploaded and that enough detail is provided. A human starts the request and chooses the recipients. ANALYSIS ONLY: AI-powered reconciliation identifies possible issues during bank reconciliation and explains them and how to resolve them. On Balance Sheet and Profit and Loss reports, the Analyze Books with Accounting AI action produces a root-cause analysis of flagged trends (documented top issue types: AR/AP aging issues, duplicate transactions, miscategorizations, and income that should have been deferred) with a downloadable detailed PDF. Intuit frames this as a supplemental review; no automatic correction is documented.
Data access
Positively established from current Intuit documentation: downloaded bank and credit card transactions in the QuickBooks bank feed; previously posted transactions and categorization history for the company, used as the evidence base for suggestions and for Ready to post; the chart of accounts; customer and vendor (From/To) lists; class and location fields; bank rules; the Transaction posting policy settings and posting notes; direct deposit paycheck and payroll tax payment records handled by Intuit QuickBooks Workforce or QuickBooks Desktop Payroll, and bills paid with QuickBooks Bill Pay, for auto-post matching; receipts, files and replies supplied through transaction information requests; bank statement data compared during reconciliation; and Balance Sheet and Profit and Loss report data for issue analysis, where Intuit states each AI-powered Report Insight is based on up to 15 months of transaction data. Not established: any access beyond the QuickBooks company file and the connected feeds listed above. Intuit Intelligence is documented separately as connecting accounting, payments and payroll data across the business; that broader cross-business access is not attributed to Accounting AI.

Administrative control
Documented controls and review surfaces: the QuickBooks plan determines which Accounting AI features appear; the Transaction posting policy, in the Accounting section of Account and settings, sets required fields, an Amount exceeds review threshold, a history effective date and posting notes, and Intuit states that changing the policy never modifies transactions already posted; Intuit states that AI never overrides bank rules and never causes rules to auto-post a transaction; Review Signals show the strength of data behind each suggested field; the Policy reviews tab logs every check that ran on a transaction and the reason it was held; the Needs attention widget reports work done for the user; the Posted tab shows RULE and AUTO badges on auto-posted transactions; users can edit any suggestion before posting and can return to the classic banking experience using Switch to previous version; transaction information requests can be hidden using the Requests checkbox in the bank transactions settings, require a one-time admin consent before a user can use them, and are documented as turning on when a bank is connected with no option to turn them off; Intuit Intelligence follow-up on request replies can be switched on or off in Inbox settings and is on by default. At the Intuit AI level Intuit states that there is currently no way to turn off AI features individually. That is recorded as stated; no broader security conclusion is drawn from the absence of a control. Not established: any documented administrative control that specifically enables, disables, scopes or restricts auto-post, and any documented role restriction on who may act on Accounting AI output.

Availability
United States documentation, September 2026. Capability level: Intuit states that Accounting AI is included with QuickBooks Online Essentials, QuickBooks Online Plus and QuickBooks Online Advanced subscriptions, as well as Intuit Enterprise Suite; the banking page article states that Accounting AI is available for QuickBooks Online Essentials and higher. Feature-level availability differs from capability-level availability. AI-powered bank transaction features (suggestions, matching, Review Signals) are stated to be available for all QuickBooks subscriptions. Ready to post is documented as available with QuickBooks Online Essentials, Plus and Advanced in the United States on the new AI-powered banking page, and as not available in QuickBooks Online Simple Start or Intuit Enterprise Suite, which does not match the plan list given on the Accounting AI features article; both statements are recorded as found. Advanced Accounting AI features (AI-powered reconciliation and potential accounting issues in reports) are documented for QuickBooks Online Plus, QuickBooks Online Advanced and Intuit Enterprise Suite. Requests for more information is noted as currently available for QuickBooks Online only, while the transaction information requests article states availability in QuickBooks Online (all plans), QuickBooks Ledger and Intuit Accountant Suite, and not in QuickBooks Solopreneur. AI-powered Report Insights is documented for Profit and Loss and Balance Sheet reports in QuickBooks Online Plus, QuickBooks Online Advanced and Intuit Enterprise Suite. Non-US QuickBooks documentation lists different plans and a narrower feature set and is deliberately not merged into this record.
Licensing
Included with the QuickBooks Online subscriptions listed above; no separate Accounting AI charge is documented. Intuit states that some Intuit AI features may currently be in beta and available at no additional cost for certain users, and that pricing, terms, conditions, special features and service options are subject to change without notice. Intuit Intelligence chat is documented separately with monthly prompt limits and a paid add-on; that is a different capability and its pricing is not attributed to Accounting AI. No pricing is inferred.

Limitations and uncertainty
ESTABLISHED: Accounting AI is a named QuickBooks Online capability distinct from Intuit AI (the overall suite of AI-powered features), from Intuit Assist and Intuit Intelligence (the assistant), and from the separately documented Customer AI, Payments AI, Payroll AI, Finance AI, Project Management AI, Sales Tax AI and Business Tax AI. Ready to post is human-reviewed and human-posted. Auto-post is a separate automated behaviour, documented only for the listed Intuit QuickBooks Workforce or QuickBooks Desktop Payroll transactions and for bills paid with QuickBooks Bill Pay. Categorization suggestions are not equivalent to posting. Reconciliation support and report issue analysis are analysis and explanation; no automatic correction is documented. Intuit states that generative AI powers many Intuit AI features but that Intuit does not use generative AI to calculate the numbers in QuickBooks. NOT ESTABLISHED: the runtime authority under which auto-post writes to the books. Intuit does not document whether auto-post executes under the permissions of a particular user, under an administrator, or under a separate service or agent identity, so permission basis is recorded as not established. Whether auto-post requires prior enablement or configuration, and therefore whether any operational default exists, is also not documented; default state is recorded as not established rather than inferred from plan inclusion, from the presence of AI suggestions, or from the statement that individual AI features cannot be turned off. No consequential operation outside QuickBooks is positively established: matching a QuickBooks transaction against an externally originated payroll, bill payment or bank record does not establish a write to any external system, and no external action is inherited from Payments AI or Payroll AI, so external action capability is recorded as unknown rather than no. The specific model or provider used by Accounting AI is not identified by Intuit. CONFIGURATION-DEPENDENT: which features appear depends on the QuickBooks plan and on geography; which transactions reach Ready to post depends on the Transaction posting policy, on bank rules, and on previously posted history. Intuit notes that report issue analysis is currently available across a majority of Balance Sheet and P and L accounts, but not all of them. CROSS-CAPABILITY INTERACTION: in the transaction information request flow, Intuit documents Intuit Intelligence (previously described as Intuit Assist) as reviewing each client reply, asking follow-up questions, and filling out the category after a completed request. That behaviour belongs to the assistant and is recorded here only as an interaction, not as Accounting AI behaviour.
